We are seeking a skilled and motivated MRO Parts Room Clerk to join our team based in London, ON. This position is responsible for managing the flow of Maintenance, Repair, and Operations (MRO) spare parts through the Parts Room. The MRO Parts Room Clerk receives and inspects incoming parts, creates and maintains accurate records in the CMMS (eMaint), assigns and labels bin locations, issues and returns parts against approved Work Orders, and maintains inventory accuracy through replenishment, cycle counting, and disciplined CMMS transactions. This position is also responsible for sustaining the visual organization of the Parts Room under 5S standards and for understanding related Quality Management Systems including SQF, HACCP, and GMP to ensure the safety and quality of employees and products. The job duties include responsibility for assuring food safety and food quality for Dessert Holdings, and for the accuracy, traceability, and control of all spare parts inventory under Maintenance responsibility.

KEY RESPONSIBILITIES:

  • Verify and inspect all incoming deliveries against the Purchase Order and packing slip; tag and quarantine any item that is missing, incorrect, or damaged.
  • Process and fully enter all received parts into the CMMS (eMaint) within 24 hours of delivery.
  • Search the CMMS before creating any record to prevent duplicate part numbers; create new part records with complete, standardized descriptions and submit them to the Maintenance Planner and Manager for verification and approval.
  • Receive physical quantities against the Purchase Order and file or scan packing slips and receiving documentation.
  • Assign every part a permanent bin location using the standard coding format (AISLE-BAY-SHELF-BIN) and the correct storage zone based on part type, size, and handling requirements.
  • Apply bin labels and enter bin codes in eMaint, ensuring the physical label and the CMMS record match exactly before any part is stored.
  • Never use temporary or unlabeled storage locations for stocked inventory.
  • Generate, print, and apply compliant, scannable QR-coded part and bin labels using eMaint or approved label templates.
  • Maintain aisle, bay, zone, and safety signage, and replace damaged, faded, or unreadable labels within 24 hours.
  • Perform daily 5S visual checks to keep the Parts Room organized, labeled, and free of clutter and obstructions.
  • Issue inventory only by charging parts to an approved Work Order in eMaint; no part is issued without a valid Work Order number.
  • Process returns only through approved Work Order modifications, inspect returned items, and route damaged or suspect material to Quarantine.
  • Enforce kit integrity: kits are issued, installed, and returned as complete units, with no partial kit issues or returns.
  • Initiate replenishment based on CMMS Min/Max reorder points and create Purchase Orders in eMaint for transfer to D365.
  • Perform cycle counts, prepare Missing Parts Reports for discrepancies, and post approved inventory adjustments using the correct reason codes.
  • Maintain CMMS discipline by recording every issue, return, and adjustment in eMaint at the time of the transaction with the required references and reason codes.
  • Comply with all food safety and quality systems (SQF, HACCP, and GMP) and safety rules, and perform other duties as assigned by the supervisor

QUALIFICATIONS AND REQUIREMENTS:

  • Proficiency with a CMMS (eMaint preferred) for part record creation, inventory transactions, replenishment, and reporting.
  • Ability to read and interpret purchase orders, packing slips, datasheets, invoices, and vendor catalogs to identify parts and verify shipments.
  • Knowledge of standardized part-naming and description attributes for MRO items (motors, bearings, belts, fasteners, seals, lubricants, and electrical/electronic components).
  • Understanding of bin-location coding and storeroom zoning (AISLE-BAY-SHELF-BIN) and the discipline to keep physical locations and CMMS records matched exactly.
  • Working knowledge of 5S methodology and visual workplace organization standards.
  • Ability to operate label printers and barcode/QR scanners and to produce compliant, scannable labels.
  • Strong attention to detail with a high standard for data accuracy and inventory traceability.
  • Basic math skills for quantity verification, Min/Max levels, and cost-impact calculations.
  • Familiarity with Work Order based issuing and return processes and inventory-control concepts such as cycle counting, reorder points, and FIFO.
  • Ability to safely operate a forklift, hoist, and other equipment to rig and move heavy parts.
  • Familiarity with purchasing systems (Microsoft Dynamics 365 / D365) is an advantage.
  • Proficiency in MS Office and basic PC skills.
  • Ability to operate in the workplace in a safe and effective manner and to adhere to all environmental, health, and safety rules and regulations.
  • Must have a flexible schedule and be willing to work overtime, including weekends, when necessary.

REQUIRED

  • High school diploma or equivalent; relevant technical or inventory coursework is a plus.
  • Prior parts room, storeroom, warehouse, or inventory-control experience, preferably in a manufacturing environment.
  • Experience using a CMMS for inventory transactions and part records (eMaint preferred).
  • Must be able to read, write, and speak English; ability to read, write, and speak both English and Spanish preferred.
  • Must be able to successfully complete HACCP Certification.
  • Must have a Forklift License or be able to complete the required training within 90 days of hire.

PREFERRED

  • Experience in a food manufacturing or GMP-regulated environment.
  • Hands-on experience with eMaint and Microsoft Dynamics 365 (D365).
  • Knowledge of MRO spare parts across mechanical, electrical, and consumable categories.
  • Good verbal, written, and mathematical skills, with the ability to deal tactfully and courteously with co-workers, other departments, and vendors.
  • Familiarity with 5S and lean methodology.
