About the job

 

The Accounting, HR & IT Manager is responsible for managing the financial health of the organization, ensuring compliance, optimizing processes, and providing strategic financial insights. This role oversees accounting functions, financial reporting, budgeting, and risk management while supporting business growth. The Accounting, HR & IT Manager leads the Accounting, HR and IT team and is the primary point of contact for external auditors, tax advisors, and financial institutions.

 

Key Responsibilities

Financial Management & Accounting

  • Oversee financial activities, including Accounts Receivable (AR), Accounts Payable (AP), and Profit & Loss (P&L).
  • Manage the HR, IT, and Facilities Coordinator’s workload, ensuring efficient task execution.
  • Prepare and distribute monthly financial reports to senior leadership.
  • Act as the primary contact for financial inquiries, including payroll, government remittances, taxes, and WSIB.
  • Lead costing analysis, evaluating shop rates, product margins, and profitability reports to provide strategic insights to leadership.
  • Calculate and administer Ownership Thinking incentives, Leadership Plans, and Growth Bonuses.
  • Ensure compliance with year-end financial procedures and maintain adherence to online payment protocols.
  • Analyze financial statements to identify trends, risks, and opportunities for improvement.
  • Oversee business insurance management, ensuring adequate coverage and compliance.
  • Manage general administrative duties related to financial operations.
  • Reconcile bank accounts on a monthly basis.
  • Monitor and report cash flow, providing weekly updates to leadership.

 

Financial Planning & Strategy

  • Develop and update financial policies and procedures to support company growth and efficiency.
  • Assist in the preparation of annual budgets and quarterly forecasts, providing variance analysis and corrective action recommendations.
  • Collaborate with leadership on long-term financial strategies, identifying opportunities for cost optimization and improved profitability.
  • Provide financial insights and recommendations to support strategic decision-making.
  • Oversee implementation and maintenance of financial software and accounting systems, ensuring accuracy and efficiency.
  • Work closely with IT on system upgrades and troubleshooting financial software issues.
  • Identify and mitigate financial risks, including monitoring debt levels and preparing for market fluctuations (e.g., USD currency risks).

 

Purchasing Support

· Assist with purchasing operations, including reviewing purchase orders, monitoring vendor invoices, and ensuring timely payments.

· Collaborate with suppliers to ensure accurate billing, pricing, and purchase order alignment.

· Track and update lead times for ongoing purchase orders to manage expectations with internal teams.

· Work with inventory and operations teams to resolve discrepancies related to quantity, quality, or pricing.

· Support cost analysis initiatives related to purchasing and supplier agreements

Leadership & Mentorship

  • Mentor and train the HR, IT, and Facilities Coordinator and other team members on best practices, systems, and processes.
  • Ensure cross-training within the department to maintain operational continuity.
  • Train HR, IT, and Facilities Coordinator to handle critical financial responsibilities during time off.

 

Oversight of HR, IT, and Facilities Coordination

  • The HR, IT, and Facilities Coordinator reports to this position, ensuring seamless collaboration between finance and IT, facilities operational departments.
  • Provide guidance and leadership to the coordinator, ensuring alignment with organizational goals.
  • Review and approve financial aspects of HR, IT, and Facilities-related expenses.
  • Ensure compliance with financial reporting on HR, Accounting, and IT KPIs each month.

 

Qualifications & Skills

  • Education: Post-secondary degree in Accounting, Finance, or Business;
  • Experience: 5+ years in financial leadership; experience managing accounting functions, budgeting, and reporting.
  • Technical Proficiency: Strong knowledge of accounting software, financial reporting tools, and ERP systems.
  • Strategic & Analytical Skills: Ability to interpret financial data and provide actionable recommendations.
  • Leadership & Team Development: Proven ability to mentor and develop personnel.
  • Problem-Solving & Decision-Making: Strong critical thinking skills to navigate financial challenges.
  • Communication & Collaboration: Ability to present financial insights effectively to leadership.
