Position Title: Receptionist & Accounts Payable Clerk

Location: London, Ontario

Type of Employment: Full-time permanent

Compensation: Competitive wage commensurate with experience plus a comprehensive benefits package

Hours:

  • Monday to Friday, 8:00 am to 4:30 pm


Position Summary

The successful candidate will answer incoming calls and act as the first point of contact for visitors in a professional and courteous manner. The accounts payable responsibilities include processing supplier invoices and credit notes; routine cheque preparation and payment processing; reconciling supplier statements; resolving pricing and quantity discrepancies; and maintaining an accurate filing system.

Receptionist Key Responsibilities

  • Greeting customers and suppliers in a warm, friendly manner upon arrival to the foyer or through the phone
  • Answer visitor’s questions, calls, and provide them with the appropriate information
  • Notify relevant employees when visitors arrive
  • Transferring calls as necessary to different departments
  • Sorting of daily mail, deliveries, and ensure they are distributed accordingly
  • Assisting with month-end statement distribution and using postage machine daily
  • Follow security procedures, such as monitoring the logbook and issuing visitor badges

Accounts Payable Key Responsibilities

  • Match received reports and packing slips to supplier invoices and investigate any variances
  • Verify pricing on all invoices to ensure accuracy
  • Process invoices into the company’s ERP system
  • Reconcile statements to the company’s ERP system
  • Generate cheques on time to ensure prompt discounts are received
  • Regularly contact suppliers to resolve discrepancies
  • Follow up on pricing discrepancies and overages or shortages to ensure credits are received
  • Maintain an organized and consistent filing system, and file documents as needed
  • Maintain strong communication and teamwork with all office staff, suppliers and the management team to ensure efficient business operations

Required Skills and Abilities

  • Minimum two years of Reception experience
  • Proficient computer skills (Microsoft Office Suite – Word, Excel, Outlook; data entry; typing; web navigation; research; online database usage; web-based training)
  • Time management skills and prioritization skills with a deadline-oriented mindset

  • Excellent ability to work independently and as a team
