SAP Contract Specialist - Project Management

 

The Pall Water Contract Specialist proficiently leads complex commercial capital equipment contracts from order entry to order acceptance with our end customers. This is accomplished by proactively engaging in hands-on and solution-oriented collaboration with multidiscipline resources from both internal and external teams to fulfill contractual requirements from a cost, schedule and quality standpoint. This includes independently identifying risk, leading collaborative resolution, updating, modifying and managing contract documentation thru the project life-cycle, for each assigned project, to ensure a successful outcome for key stakeholders. The Contract Specialist will be assigned several projects to manage simultaneously involving different customers, different teams and different contract requirements. The role is active and integral part of a team to improve Gross Margin, deliver on time and ensure the customer requirements are met. This role will also use DBS (Danaher Business System) tools to drive continuous improvement in the execution of Pall Water projects.

 

Contract Management (100%):

  • Independently and proactively identify omissions or deviations from Pall Standard Terms and Conditions; foresee potential contractual pitfalls ahead of time and lead the avoidance or resolution, compose listing of exceptions and clarifications; identify approvals needed to accept deviations; suggest use of alternate language where appropriate and work with Water Quality Legal for approval; influence and collaborate on effective resolution of omissions, conflicts or deviations.
  • Compose contract revisions utilizing alternate language to achieve compliance with guidelines.
  • Manage contract hierarchy. Review new orders to establish document hierarchy and identify commercial deviations from those proposed.
  • Provide interpretation of contract language to enable accurate assessment of technical obligations by project teams. Provide contractual professional guidance to team members to ensure project is executed according to contract requirements. Liaise with Legal or escalate to Manager only on very challenging circumstances only.
  • Ensure new order acceptance criteria has been satisfied, obtain approvals from Finance, Legal, Sales, Operations and others as necessary, ensure alignment and communicate project execution goals and plans.
  • Prepare the Contract Summary to document precedence, commercial obligations, deviations from standard, residual commercial risks and notifications required during project execution.
  • Prepare commercial documents for Contract Handoff to project execution teams; provide contractual guidance during project kick-off meetings.
  • Maintain Order Tracking spreadsheets and updates ISO documents for Order Review.
  • Acknowledge purchase order to customer with input from Sales and Pall Legal.
  • Work with Project Manager to execute/maintain contract change orders.
  • Prepare and enter new order and/or change order for projects.
  • Act as customer liaison for communication with customers and interact with assigned project team personnel accordingly.
  • Proactively manage customer communications. Create/update/maintain project database for each project for all internal and customer required communications/data related to the order.
  • Create/update/maintain submittal documents for each project. Responsible for on-time transmittal and receipt of customer required data and maintenance of documentation records as required by contract.
  • Direct contractual invoicing. Prepare and transmit customer invoices, maintain detailed invoice history for each project. Assist Accounts Receivable in closing past-due accounts. Initiate percent of completion/revenue recognition documentation as scheduled. Invoice and balance internally to close out projects.
  • Identify and provide contractual shipping details/requirements to Logistics to ensure delivery specifications are met.
  • Prepare and ensure legal agreements are executed and maintained for each project, as required. Navigate and pull together resources to ensure contract requirements are followed and executed.
  • Manage, renew and obtain new Performance/Payments/Maintenance bonds, Bank Guarantees, or Letters of Credit as required by contract. Assist Sales and project teams with obtaining necessary insurance certificates and amendments, bonds, letters of credit, and bank guarantees. Manage insurance reviews.
  • Provide training and education to the business on areas of responsibility for increased efficiencies and new processes as developed.
  • Embrace and utilize a culture with regular kaizen activities leveraging daily management and continuous process improvement to achieve sustainable competitive advantage.
  • Solves technical problems, evaluating systems and/or process to determine root cause and implement corrective actions as required, engaging subject matter experts as needed.
  • Continuously improve our execution plans for projects, drive improvements thru Danaher Business Systems tools.
  • Bachelor degree in Business
  • Administration or related field with two (2) years related experience or Associates Degree in Business Administration or related field, plus professional certificate(s) in Commercial Contract Management and/or Advanced Contract Management and four (4) years related experience are required.
  • Related Experience must include experience in Contract Management. Experience in Capital Equipment Contracts desired.

 

Preferred qualifications and/or experience:

  • SAP experience for orders (SD).
  • Successfully worked as or with Project Manager and project team to deliver projects on-time, within budget, and to the contract documents.
  • Demonstrated ability to lead the resolution of complex commercial issues with customers.
  • Participate in and drive continuous improvement efforts to improve profitability, delivery times, and customer satisfaction.
  • Use highly effective written and verbal communication skills including facilitation skills, meaningful use of presentations and spreadsheet analysis to meet business requirements. Demonstrate excellent organizational and communication skills (oral and written) for interfacing with team members and customers. Ability to train existing or new knowledge to all levels of the organization.
  • Proficient in current computer software and computer skills, including Office 365, MS Project on-line, MS Teams, Outlook.
  • Successfully use knowledge of diverse business/Contract Administration principles and procedures, emphasis on public relations with excellent telephone and communication skills required.
  • Ability to quickly multitask and prioritize. Independently manage workload and set priorities. Demonstrate proactivity and an appropriate level of urgency.
  • Ability to identify and solve problems independently and lead collaborative resolution. Demonstrated ability to foresee contractual pitfalls ahead of time. Ability to work independently and collaboratively across-functions, troubleshoot and resolve complex problems, involving project team members and other departments as needed, driving to a conclusion.
  • Ability to work in an office or remote environment.
  • Ability to meet the travel requirements of the position; 10% travel within North America as required.

The US salary range for this role is 70K - 80K. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in Colorado. This range may be modified in the future.
