Due to the incoming implementation of new lines and expansion of our workforce, we have an opportunity for a talented and motivated Human Resources Specialist.
Summary
The HR Specialist is an essential member of our Human Resources team, responsible for providing comprehensive support to the HR Supervisor and contributing to various HR functions. The role encompasses a range of employee relations, administrative tasks, HR programs, training, general office duties, and recruitment activities. Their contribution will play a crucial role in promoting employee engagement and overall organizational success. This position is detail-oriented, proactive and collaborative.
Job Duties and Responsibilities
- Participate in recruitment efforts including reviewing resumes, scheduling and participating in interviews, maintaining candidate communication, attending job fairs, pre-screen applicants, completing background and reference checks.
- Keep the office environment clean, organized, and functional. This includes tasks such as restocking supplies, administrating building access, tidying common areas and ensuring that equipment like printers and copiers are in working order.
- Assist in the maintenance, processing, and management of employee records, including personal information, new hire and termination paperwork, benefits enrollment, and training documents.
- Undertake various administrative tasks including data entry, file organization, photocopying, scanning, and archiving documents. Assist with preparation of reports, presentations, and correspondence as needed.
- Execute employee orientation and onboarding activities, ensuring that new hires are integrated smoothly into the organization.
- Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages for delivery. Handle shipping and tracking of packages as required.
- Conduct regular walkthroughs of the plant floor to foster employee engagement, interact with employees, understand their needs and create open communication.
- Serve as the central point of contact for office events, guests, workshops, and training sessions. Assist with logistics, setup, and coordination of materials.
- Ensures that company employment, safety, labour relations, and personnel practices comply with applicable provisions of federal, provincial and municipal laws, including maintenance of necessary files.
- Serve as the initial point of contact for visitors by assuming general reception duties.
- Collaborate closely with HR Supervisor to understand payroll processes, systems, and timelines to serve as payroll back up.
- Track and administer all employee perks, recognition, and incentive programs.
- Plan and organize special events and recreational activities.
- Maintains confidentiality in all employee interactions and in maintaining employee files.
- Complete other duties and projects as assigned.
Job Qualifications
- 1 year of administrative experience, preferably in Human Resources preferred, but not required.
- Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
- Demonstrated work knowledge of multiple Human Resource areas preferred.
- Research skills required.
- Ability to maintain the highly confidential nature of Human Resources work.
- Proficiency in HRIS and payroll software and Microsoft Office applications.
- Ability to convey a positive and professional image to applicants and members
- Ability to perform independently, accurately and effectively.
- Effective communication skills with individuals at all levels of the organization.
- Excellent typing skills, including proper spelling and grammar.
- Presentation skills required.
- Able to deal with people sensitively and professionally at all times.
- Able to work efficiently as a part of a team.
- Attention to detail in all areas of work.
- Ability to interpret and implement company policies and procedures.
- Motivated individual with proven initiative.
Education
- Bachelor's degree in Human Resources, Business Administration, or a related field (preferred).
