Executive Assistant to Vice President

Reporting to the Vice President, Legal & General Counsel, or designate you will provide administrative support to the Vice President, Legal & General Counsel and two other Vice Presidents for projects, initiatives, meetings and related activities. You will also provide backup support to the Executive Assistant to the CEO & Board of Directors.  You will be responsible for providing professional, courteous, confidential, strategic, and efficient administrative assistance and support to the Vice-Presidents, their immediate direct reports, and relevant stakeholders.

WHAT YOU WILL DO

  • Administrative Support to the Vice Presidents: Coordinate and optimize the day-to-day operations of the Vice Presidents’ office (calendar, appointments, meetings, projects, deadlines and deliverables, tasks, hospitality, matters requiring attention). Greet visitors and callers. Order office supplies. Assist with the coordination and execution of Divisional plans, projects, initiatives and events (internal /external). Schedule and attend meetings, prepare and distribute agendas and minutes, and document decisions and action items for execution or follow up. Assist in preparing and monitoring relevant budgets, procurement of goods and professional services, membership management, reconciliation and processing of invoices, expenses, and other departmental transactions and processes, and tracking expenditures. Enter weekly time for staff and approve time entry and vacation requests as required. Establish and maintain the Vice Presidents’ organizational/ business processes and recommend improvements, liaising with internal departments as required.
  • Stakeholder Support / Relationship Management: Facilitate responsive and collaborative communications and interactions and build/maintain effective relations between the Vice Presidents and internal / external stakeholders. Provide information. Prioritize and coordinate resolution of requests or issues.
  • Data, Information and Content Coordination and Management: Ensure efficient and timely flow of information to/from the CEO, Executives, the Division, and the corporation. Consult internally, conduct research, analyze, and prepare, proofread, format, and/or edit correspondence, memoranda, business documents (i.e. staff reports, plans, filings, proposals, recommendations, meeting presentations, etc.).  Support the Vice Presidents and direct reports to the Vice Presidents with the preparation of timely, accurate and professional executive-level reports and presentations. Summarize data, including goals and KPIs, in spreadsheets or other related solutions.
  • Document and Records Management: Maintain confidential and general files (digital and hard copy), ensuring that corporate records are retained and/or destroyed in accordance with record retention policy and procedure.
  • Divisional Networking and Professional Development: Arrange for conference, event, and training registration, travel, accommodation, and reservations for the Vice President and their immediate direct reports.
  • Backup Support: Provide seamless administrative support to the CEO, Executive Committee, and Board of Directors, serving as the designated backup to the Executive Assistant to the CEO & Board of Directors and assisting as needed during peak work periods.
  • Safety: Adhere to all Occupational Health & Safety Act rules and regulations, the IHSA EUSR rulebook and London Hydro work practices. Report all injuries and near misses immediately. Perform all activities in a manner that protects the health and safety of yourself and others. Wear all personal protective equipment as required. Understand and comply with London Hydro Health and Safety policies.

WHAT YOU WILL BRING

  • Post-secondary education (minimum 2-year Community College diploma) in Office or Business Administration or a similar / equivalent program.
  • At least three (3) years of relevant experience.
  • Previous experience as a C-Suite Executive Assistant and/or experience in the electrical distribution industry is considered an asset.  
  • Excellent written and oral communication and interpersonal skills.
  • Written materials demonstrate thorough knowledge of professional writing and spelling and grammar conventions.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) and G Suite.  
  • Position necessitates a high degree of tact, diplomacy, discretion, confidentiality and integrity.
  • Ability to prioritize tasks and schedule activities based on a strong understanding of business needs and commitments/deliverables to customers, employees and stakeholders.
  • Excellent judgment, time management, organizational and records management skills, with a commitment to accuracy.
  • Ability and initiative to work independently and to be proactive.
  • Valid Driver’s License Class G.
