Our location in London, ON has an opening for a  Receptionist.

POSITION SUMMARY: 

The front desk receptionist performs a variety of clerical and administrative tasks to support daily operations.  The receptionist will be responsible for answering incoming calls, receiving visitors, providing customer assistance, data processing, record-keeping as well as additional clerical duties for across several departments. The position is responsible for the administrative support for the London C2 site. 

KEY RESPONSIBILITIES:

  • Answer centralized telephone system in a professional manner and route calls accordingly. Maintain/update internal telephone directory.
  • Respond to inquiries from employees with great customer service, citizens and others; and referring, when necessary, to the appropriate person, official or department.
  • Maintain workplace security by maintaining visitor logs and COVID19 screenings.
  • Responsible for ordering and maintaining office supplies on stock and other administrative supplies.
  • Coordinate the pick-up and delivery of express mail services (FedEx and other courier services), including customer samples both domestically and internationally.
  • Supports leaders by scheduling meetings including booking conference rooms and ordering lunch for meetings as requested.
  • Organizes and files company documents either electronically or with a paper filing system
  • Is Responsible for maintaining training records up to date (On-the-job training logs)
  • Works closely with Recruiter to support New Hire activity to include setting up new hire databases and issuing ID Badges
  • Support HR with administrative task to include Data entry, filing and creating new employee files and maintaining the filling room records.
  • Supports the employee communication by creating employee announcements using the Electronic Communication Board with the Direction of upper management.
  • Assist with a variety of administrative tasks including working with other business functions as needed.
  • Other duties as assigned.

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Graduation from high school or GED equivalent.  Some college prefer.
  • Two years of increasingly responsible related experience in an office setting, or any equivalent combination of related education and experience.
  • Time management skills to prioritize and complete a variety of tasks throughout the day
  • Verbal and written communication skills to interact clearly with customers, vendors and other employees
  • Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive
  • Proficiency in Excel, Word, and outlook.
  • Accuracy in data entry.  Attention to details is important specially in data entry task.

Job Responsibilities:

  • Greet people entering the office, answering any questions, providing directions and alerting staff when someone is there to meet or visit them.
  • Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested.
  • Manage the building log of who is entering and exiting the building.
  • Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pick up.
  • Serve as the face of the company, offering friendly service to those entering the building or calling in on the phone.
  • Maintain the reception area, keeping it clean and free of clutter.
  • Handle filing and data entry as requested.
  • Assist Accounting department with tasks as they arise.
  • Assist with COI document management and disbursement.
  • Assist Administrative Manager and Coordinator with in-office meetings and events
  • Perform other administrative duties as assigned

Job Skills & Qualifications:

  • High school diploma or GED
  • At least two years of training or experience in customer service and office work
  • Computer proficiency
  • Strong verbal and written communication skills
  • Ability to work independently

We have a wonderful opportunity for a Receptionist. This is a service role to our internal (our employees) and external customers and is the initial contact point for our organization. Key job responsibilities included answering of incoming calls, directing calls, greeting visitors, mail distribution, requisition of office supplies as well as additional administrative duties.

  • Direct incoming calls, in a professional manner
  • Greet and direct visitors, ensuring adherence to the appropriate security and safety BRC procedures
  • Coordinate pickup and delivery of express packages (Fed Ex, etc.)
  • Receives, dates and distribute incoming resumes, mail and faxes
  • Ensure reception has required documents –application forms, contractor handbooks
  • Update and create employee Birthday cards and handle cake orders for employees
  • Coordinates inventory and ordering of office supplies
  • Maintains Staff Contact list
  • Support Human Resources with various administration responsibilities and projects as required

  Skills:

  • Excellent communication skill sets – both in person, written and over the phone.
  • Strong Outlook and application skill sets, robust Excel, and Power Point skill sets
  • Ability to multi-task
  • Good organizational and time management skills
  • Accurate data entry capabilities

 Abilities:

  • Is experienced in working in a fast-paced environment, willing to grow and evolve, demonstrates resilience on an ongoing basis.
  • Can deal with ambiguity in a professional way when all of the facts and information required may not be readily available.
  • Practical in identifying resources needed in a calm, mature and professional manner.

Experience:

  • 3+ years plus working experience in a customer service / administrative capacity supporting internal or external customers where communication skill sets are a priority.
  • College or other post-secondary education / certification that is transferrable to the requirements of this position.
