Reporting to the Director of Human Resources, with dotted line to Director of Finance, this individual will be responsible for the day-to-day processing of payroll for our Canadian and US employees. This individual will communicate with internal and external stakeholders to ensure the accuracy of all payroll reports.

Working Environment

This position will be 100% on site at our offices in London, Ontario.

Responsibilities
 
  • Processing biweekly payroll in a timely manner ensuring accuracy for Canadian and US locations.
  • Administration of the HRIS platforms for payroll purposes – ADP, Visio
  • Maintain consistent communication with employees, HR, and Finance departments.
  • Ensure compliance with all Federal, Provincial and State payroll and taxation laws.
  • Provide prompt, concise regular reporting (bi-weekly, monthly, quarterly, annual as required) on a variety of payroll related items including salaries, hourly wages, OT, vacation, etc.
  • Process terminations, issue ROEs, Employment Insurance Forms.
  • Process reporting, payments, and reconciliations to WCB and WSIB.
  • Research payroll errors and processed payments for Federal, State and Provincial taxes, SSN/Social Security, healthcare, and various employee deductions, annual contributions.
  • Working alongside the Director of Finance and Controller on all aspects of reporting, annual budget preparation, data auditing assistance
  • Working alongside the HR department on a variety of aspects pertaining to employee deductions, benefits, reports, bonuses, employee status changes, annual merit adjustments, companywide communications, and retirement plan processing for both Canada and the US.
  • Distribution of annual T4’s for Canada, WSIB, EHT, and W2 and W4 for US Employees
  • Preparation of annual reports for US workers' compensation insurance audits
  • Partake in special projects such as efficiency and user-experience improvements with payroll processes and tools.
     
Experience, Skills & Knowledge
 
  • Demonstrated attention to detail and accuracy, ability to manage multiple priorities, meet timelines and maintain confidentiality, along with excellent communication and interpersonal skills.
  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, SharePoint, HRIS, etc.).
  • Knowledge of legislation such as the Employment Standards Act, the Human Rights Code, the Occupational Health & Safety Act and Revenue Canada guidelines
  • Previous experience with ADP Workforce Now including time and attendance, payroll system integration and Implementation experience would be an asset.
  • Drive process improvement and system enhancement initiatives aimed at increasing overall payroll accuracy and efficiency.
  • Ability to work effectively with minimal supervision.
  • Great interpersonal skills, strong attention to detail and highly organized.
  • Excellent communication skills – both written and verbal.
     
Qualifications
 
  • Post-secondary diploma/degree related to Payroll Administration required, (PCP-Payroll Compliance Practitioner designation) or equivalent related experience.
  • Payroll experience: 3 years (required)
