Job Description

The Purchasing/Receiving Clerk is responsible for supporting the procurement activities processing purchase orders, maintaining accurate records, and ensuring efficient communication between vendors and internal departments. Additionally, this position is responsible for ensuring accurate billing of freight shipments. This role involves reviewing shipping documents and verifying charges.

So, what will you be doing as a Purchasing/Receiving Clerk?

  • Prepare and process purchase orders for supplies, materials, and equipment based on approved requisitions.
  • Verify and maintain purchasing records, including invoices, contracts, and delivery receipts.
  • Communicate with suppliers and vendors to obtain quotes, follow up on orders, and resolve discrepancies or delays.
  • Coordinate with internal departments to ensure timely delivery of goods and services.
  • Monitor inventory levels and assist with inventory management tasks as needed.
  • Review and reconcile purchase orders with invoices, checking for accuracy and completeness.
  • Assist in the preparation of purchasing reports and documentation for management review.
  • Adhere to company policies and procedures related to procurement and purchasing activities.
  • Communicate with vendors and internal departments to resolve billing issues or discrepancies.
  • Assist with reconciliation of accounts and support month-end closing procedures.
  • Respond to vendor inquiries regarding invoices, payments, and billing adjustments.
  • Ensure compliance with company policies and procedures.
  • Answering and directing phone calls and other communications to the appropriate personnel.
  • Greeting visitors and providing them with general information or directing them as needed.
  • Filing, organizing, and maintaining physical and digital records, documents, and correspondence.
  • Performing other clerical tasks to support day-to-day office functions.
  • Serves as the backup for receiving rod shipments.
  • Compares received items against purchase orders and invoices to confirm accuracy. Reports discrepancies to management.
  • Serves as a backup for payroll processing.
  • Collect and verify timesheets, attendance records, and other payroll documentation.
  • Calculate wages, overtime, deductions, and incentive pay.
  • Maintain accurate payroll records and update employee information in payroll systems.

To be successful in this role, you’ll need:

  • High school diploma or equivalent; associate degree or coursework in accounting or bookkeeping preferred.
  • Previous experience in purchasing, procurement, or accounting is highly desirable.
  • Demonstrated commitment to maintaining confidentiality and discretion at all times.
  • Proficiency with purchasing software, Excel spreadsheets, and office applications (e.g., Microsoft Word, Outlook).
  • Strong attention to detail and organizational skills.
  • Excellent communication and customer service abilities.
  • Ability to work independently and as part of a team.
