Position Title: Executive Assistant

Location: London, Ontario

Type of Employment: Full-time permanent

Compensation: Experience-based wage with a comprehensive benefits package


Hours:

  • Monday to Friday, 8:00 a.m. to 4:30 p.m.
  • Occasional overtime in the evenings and weekends may be required depending on project requirements
  • Occasional travelling and driving out of town may be required for meetings and events

Key Responsibilities

  • Act as the primary point of contact for the executive team, addressing and directing inquiries appropriately
  • Manage the executive team’s calendars, including scheduling meetings and appointments, and making travel arrangements
  • Manage corporate legal records annually by updating the internal binder on an annual basis
  • Manage corporate contracts, including tracking expiration dates, assisting with renewals and renegotiations, and co-ordinating with lawyers to create new contracts
  • Complete and report on internal audits
  • Assist with various accounting-related tasks, including budget management, bonus payment calculations, putting monthly profit and loss statement packages together, and acting as a backup for monthly management payroll processing
  • Provide administrative support for Canada Revenue Agency and Statistics Canada reporting
  • Organize and co-ordinate meetings, including preparing agendas, ordering refreshments, taking and distributing minutes, and following up on action items
  • Assist with preparing and editing correspondence, reports and presentations to a professional standard
  • Manage files and storage of confidential information
  • Assist with the completion of insurance records and reporting
  • Assist the executive team with on-going projects, tracking deadlines, managing task lists and providing other project support
  • Handle sensitive and confidential information with professionalism and discretion
  • Other duties as assigned by the supervisor


Required Skills and Abilities

  • Minimum of 3 to 5 years of administrative experience
  • Excellent communication skills, both verbal and written
  • Proficient computer skills (Microsoft Office Suite – Word, Excel, Outlook; PowerPoint; data entry; typing; web navigation; research; online database usage)
  • Ability to maintain up-to-date knowledge of Information Technology (IT) tools to increase the executive team’s efficiency
  • Accounting knowledge and ability to manage and analyze comprehensive data
  • Experience with and ability to manage highly confidential information with utmost discretion
  • Experience in interpreting legal contracts is an asset (e.g. premises leases, insurance policies, bank agreements, etc.)
  • Time management and prioritization skills with a deadline-oriented mindset

  • Excellent ability to work independently and as a team
  • Effective attention to detail and a high degree of accuracy

Transportation

Canusa Headquarters is not located on a bus route, so individual transportation will be required. This is an in-person position. Remote work is not available.
