Primary Purpose of Position:

Reporting to the Administration Director, the incumbent acts as the 1st level support on a number of administrative projects, plans and business opportunities. Highly supports in the integration of Meridian with Wanfeng and serves as a key intermediary for all other departments as needed.

Major Responsibilities of Position

· Reporting to the Administration Director, overlooking the Administration work.

· In charge of the overall administration, including business reception support, clean-keeping, vehicles, office supplies, meeting rooms, hotels and ticketing management.

· Lead by example and develop the Administration Team of Executive Assistants and Receptionists to reach all defined targets. Be able to perform all tasks related to administration as a mean to train and coach the administration team to develop their skills and knowledge. Supervisor Administration activities, establish schedules, and maintain departmental training and performance reviews.

· Responsible for company publicity, 6S management of office.

· Manage company's work plan, including the preparation, submit and follow-up.

· Organize company meetings and activities, draft company documents and conference speeches, and assist in corporate culture construction especially for the integration of Wanfeng culture.

· Assist in the establishment, revision and implementation supervision of the management rules and regulations of the company.

· Contact and coordinate with relevant departments of Meridian and external Wanfeng departments.

· Responsible for visual image recognition and management of the company.

· Strengthen the awareness of honesty and self-discipline, improve the ability of risk prevention and control of honesty, guide and supervise subordinates to be honest and self-discipline.

· Administer the timely collection of key operating information, metrics and consolidating such data in formats that support decision making by senior leadership and CEO.

· Attend Staff Meetings and Key Project Meetings & attend most meetings along with CEO and Chairman. Record minutes and meeting key actions. Support in tracking of open action items and follow up with staff members to keep progress on track.

· Support all locations during Wanfeng and other delegation visits including advance notice, purpose of trip, attendees, resources needed, etc. Work with Meridian travel organizers to ensure smooth operations.

· Serve as the primary contact person with the International Administration Department (IAD) and provide feedback to both Wanfeng and Meridian.

· Responsible for the association of this field or industry, contacting with the association, and build the public affairs relationship.

· Continually identifies and implements best practices ensuring an efficient, cost effective leadership team with a focus on quality & client service. Promotes a client-centric culture with a can do attitude.

· Promotes a positive and progressive work environment that strives towards common goals. Work with all functional leaders, to identify and combine best practices of both Wanfeng and Meridian culture.

· Perform other related duties as assigned by leadership/ownership group

Skills and Education Requirements

Minimum - Bachelor’s degree in Business or Commerce and 5+ years of experience in mid size organization. MBA would be a strong asset.

5+ years in automotive mid-sized Tier One Industry Company providing administration support to CEO level.

Fluency in Mandarin

Previous leadership experience
