We currently have an opening for a SENIOR ADMINISTRATVIE ASSISTANT for our London Technical facility. This position offers a competitive salary of $52,000 - $60,000, depending on experience, plus an excellent benefit and pension package.

Primary Responsibilities

  • Understands, complies with, and upholds all the Plant’s policies, procedures, and initiatives.
  • Ensures the competency of assigned resources including the technical proficiency of personnel, equipment and technologies, the effectiveness of best practices and the production of results in a safe proficient, timely, and cost-conscious manner.
  • Provides input for daily, weekly, monthly reports to Operations Manager.
  • Participates in the weekly Administrative Staff meeting and monthly Suggestion Committee meeting.
  • Coordinates job hours with payroll hours and submits data to payroll team bi-weekly.
  • Performs accounting functions, invoicing, and preparation of month end reports in cooperation with Plant Controller.
  • Purchasing in Pi/Coupa including incoming order receipts and reconciling accruals.
  • Ensures the ERP system is implemented, maintained, and up to date.
  • Sets up new jobs in ERP system with approved documentation/back up.
  • Follows progress of jobs with employee hours, purchase order status, and timely closure of jobs via invoicing.
  • Maintains facility new business and projected income reports on daily, weekly, and monthly basis.
  • Onboarding of new employees.
  • Maintain vacation and attendance schedules.
  • Understands, complies with, and upholds the Company’s safety policies, procedures, and initiatives with the goal of meeting or exceeding the requirements of the Occupational Health and Safety Act for industrial establishments.
  • Overall implementation and maintenance of supplier status updates.
  • Monthly balancing and reconciling of supplier accounts.
  • Review and purchase office, shop, and janitorial supplies.
  • Reception duties.
  • Other administrative tasks as required.

 

Employment Requirements:

  • High School diploma.
  • Minimum of two years’ experience in an administrative environment.
  • Experience with manufacturing management systems and processes is an asset.
  • Ability to organize priorities based on deadlines and importance of tasks.
  • Proficient with Microsoft Office Applications (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
